Privacy Policy

This Privacy Policy explains how Staywell Technologies LLC, a New York limited liability company (“Staywell,” “we,” “us”), collects, uses, and shares information when you use the Staywell platform, websites, and mobile applications (the “Service”). By using the Service, you agree to this Policy.

1. Information We Collect

Account information — name, email, phone, building, unit, and role.
Building & financial data — common charges, assessments, ledgers, payment history, maintenance requests, documents, announcements, and messages you or your board submit.
Payment information — processed by our payment provider (Stripe). We do not store full card or bank numbers; we receive limited details such as the last four digits and payment status.
Bank account information — when you save a bank account for payments or your board connects the building’s bank account, our providers (Stripe and Plaid) collect the account details, balances, and transaction history you authorize during linking, and share them with us to operate those features.
Content you upload — photos, videos, and audio you attach to maintenance requests and messages, and documents uploaded for your building.
Usage & device data — log data, device and browser information, and similar technical details collected automatically. If you enable push notifications in the mobile app, we also collect a device push token.

2. How We Use Information

We use information to provide and operate the Service; process payments; display your building’s financial and governance data to authorized users; send transactional and account communications; provide the AI assistant; maintain security and prevent fraud; comply with legal obligations; and improve the Service.

3. How We Share Information

We share information with service providers that help us operate the Service — including payment processing (Stripe), bank connections (Plaid), email delivery, AI model providers, and cloud hosting — under contractual confidentiality obligations. We share building data with authorized users of your building according to their role (for example, board members can see building-wide financial data). We may disclose information when required by law or to protect rights and safety. We do not sell your personal information.

4. Bank Account Connections (Plaid)

We use Plaid Inc. (“Plaid”) to connect bank accounts and retrieve the account information, balances, and transactions you authorize. When you link an account, you provide your bank credentials directly to Plaid — we never see or store them. Plaid’s collection and use of your information is governed by the Plaid End User Privacy Policy, and by using bank-connection features you grant Staywell and Plaid the rights described there. You can disconnect a linked account at any time in the Service, and you can manage or revoke Plaid connections at my.plaid.com.

5. AI Assistant

When you use the AI assistant (“Ask Staywell”), your questions and relevant building context are sent to our AI model provider to generate a response. We do not use this content to train third-party models, and the provider processes it under its applicable terms. Avoid submitting information you do not want processed this way.

6. Mobile Permissions & Notifications

The mobile app asks for permission before accessing your photo library, camera, or microphone, and uses that access only to let you attach photos, videos, and audio to maintenance requests and messages. If you enable push notifications, we use your device’s push token to deliver them; you can turn them off at any time in your device settings. Email notification preferences can be managed in the app.

7. Data Retention

We retain information for as long as your account or building is active and as needed to provide the Service, comply with legal and recordkeeping obligations, resolve disputes, and enforce our agreements. We delete or de-identify information when it is no longer needed for these purposes.

8. Security

We use administrative, technical, and organizational measures designed to protect your information, including encryption in transit and access controls scoped to your role. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your Rights, Choices & Account Deletion

Depending on your jurisdiction, you may have rights to access, correct, delete, or port your personal information, or to object to certain processing. To make a request, contact us using the details below. Some information is controlled by your building or board; in those cases we may direct your request accordingly.

Account deletion. You can request deletion of your account and associated personal information at any time by emailing support@staywell.nyc from the email address on your account, or by using the delete-account option in the mobile app. We will delete or de-identify your personal information, except records we are required to keep for legal, accounting, or dispute-resolution purposes, and building records (such as ledgers, votes, and documents) that belong to your building and remain under your board’s control.

10. Cookies & Tracking

We use cookies and similar technologies for authentication, preferences, and basic analytics necessary to operate the Service. You can control cookies through your browser settings, though some features may not function without them.

11. Children's Privacy

The Service is intended for adults and is not directed to children under 18. We do not knowingly collect personal information from children.

12. Changes to This Policy

We may update this Policy from time to time. Material changes will be reflected by an updated “Last updated” date and, where appropriate, additional notice. Your continued use of the Service after changes take effect constitutes acceptance.
